• Job Description: This position provides administrative and operational support to the Facilities and Workforce Development departments. This position works closely with the Facilities Director and Workforce Development Manager to organize projects, schedules, participant information, documentation, communication, and follow-up.
• The ideal candidate is highly organized, dependable, detail-oriented, and able to manage multiple priorities while working in a fast-paced and growing organization.

Responsibilities

• Facilities Support
• Track construction, remodels, repairs, maintenance, and property improvement projects.
• Coordinate schedules with contractors, vendors, staff, and service providers.
• Maintain project documentation, deadlines, quotes, inspections, and follow-up items.
• Assist with work-order and maintenance tracking through MaintainX.
• Support facilities operations across multiple locations.
• Coordinate meetings, inspections, site visits, and project-related communications.
• Workforce Development Support
• Maintain participant files, tracking systems, schedules, and program documentation.
• Track participant hours, program phases, training, work assignments, and advancement.
• Assist with participant intake, orientation, job-readiness activities, and training coordination.
• Coordinate participant schedules with supervisors, treatment obligations, and program activities.
• Support workforce placements and transitions across construction, maintenance, automotive, janitorial, Print & Sign, and other work tracks.
• Assist with documentation for HR, grants, audits, and program reporting.
• Maintain calendars, task lists, deadlines, and follow-up systems.
• Document action items and ensure responsibilities are followed through.
• Communicate with leadership, supervisors, vendors, contractors, participants, and internal departments.
• Identify missing information, stalled projects, and approaching deadlines.
• Help develop forms, checklists, spreadsheets, and processes that improve organization and efficiency.
• Maintain confidentiality and handle sensitive information appropriately.

Requirements

• High school diploma or equivalent; college degree preferred.
• At least 1 year of experience in administration, facilities, workforce development, human services, or a related field.
• Proven administrative and organizational experience.
• Strong attention to detail and follow-through.
• Knowledge of office management systems and procedures.
• Ability to manage multiple priorities and meet deadlines.
• Strong written and verbal communication skills.
• Proficiency with computers, email, calendars, spreadsheets, and office software.
• Combination of education and experience accepted.
• Employment is contingent upon receipt of a satisfactory state and federal background check.
• Must be able to pass pre-employment alcohol and drug screen.
