Job description
- This position is responsible for accurately processing and maintaining vendor invoices and expense transactions. This role ensures all payables are properly approved, coded, and entered into the accounting system in a timely manner. Additional responsibilities include reconciling company Visa credit cards and maintaining records related to company vehicle assignments.
Responsibilities
- Review, code, verify, and enter vendor invoices into the accounting system.
- Confirm invoices are properly approved by department managers prior to posting or payment.
- Match purchase orders, packing slips, and invoices where applicable.
- Reconcile monthly Visa credit card statements and ensure all receipts and expense details are properly documented with accurate job numbers.
- Track and maintain company vehicle assignments and related documentation.
- Communicate with vendors and internal departments to resolve discrepancies or missing information.
- Maintain organized and up-to-date accounts payable files and records.
- Assist with month-end closing tasks as needed
- Meet strict deadlines on closing
- Support the Regional Manager with other administrative tasks as assigned.
Requirements
- High school diploma or equivalent; post-secondary accounting coursework preferred.
- 1–3 years of experience in accounts payable or general accounting.
- Strong attention to detail and organizational skills.
- Proficiency with accounting software and Microsoft Excel.
- Ability to communicate clearly and professionally with internal staff and vendors.
- Strong time management skills and ability to meet deadlines.
