- The Sales Administrative Assistant is responsible for supporting customer orders, sales activities, and service scheduling functions while providing exceptional customer service. This is a customer-facing and administrative role focused on supporting day-to-day operations, maintaining customer relationships, and ensuring accurate and efficient order processing.
- This role works collaboratively with customers, sales team members, service personnel, purchasing, and warehouse staff to ensure work is completed accurately, efficiently, and to a high-quality standard.

Responsibilities
- • Manage and process customer orders received by phone, email, and walk-in inquiries.
- • Prepare and process customer quotes, invoices, packing slips, and related documentation.
- • Follow up with customers regarding order status, inquiries, and service scheduling needs.
- • Enter and manage sales leads within the CRM system and route qualified prospects to the sales team.
- • Assist with scheduling service rebuilds and coordinating communication between customers and the service team.
- • Process customer returns and warranty-related transactions.
- • Accept and process customer payments in person and over the phone.
- • Communicate inventory concerns and product shortages to purchasing personnel.
- • Coordinate order status updates and backorder communication with warehouse team members.
- • Provide administrative support to other departments as needed.
- • Ensure work is completed safely, efficiently, and to a high-quality standard.
- • Maintain accurate and organized work practices.
- • Maintain a clean, safe, and professional work environment.
Requirements
- • High school diploma or equivalent required.
- • One or more years of customer service, administrative support, sales support, or related experience preferred.
- • Effective verbal and written communication skills.
- • Strong organizational, time management, and customer service skills.
- • Ability to maintain confidentiality and professionalism when handling sensitive information.
- • Proficiency with Microsoft Office 365 applications including Outlook, Word, and Excel.
- • Experience using CRM software such as HubSpot, Salesforce, or similar systems preferred.
- • Strong attention to detail, reliability, and work ethic.
- • Self-motivated with the ability to work independently with minimal supervision.
- • Ability to take initiative and adapt in a dynamic environment.
- • Farming background, agricultural experience, or familiarity with agricultural equipment is a plus.
