Fleet Support Specialist at Flexcar in El Monte, CA

Job description

• As a Fleet Support Specialist at Flexcar, you’ll be the person who helps keep Flexcar’s fleet legal, on the road, and safe for customers, by supporting the registration lifecycle and recall response across our footprint. You will work closely with multiple teams across all markets and sites, communicate with our customers, and provide status updates to leadership.

Responsibilities

• Recalls
• Place manufacturer recall holds on affected vehicles and track them through resolution
• Process documentation confirming recall repairs have been completed
• Notify customers directly when an open or new recall affects their Flexcar vehicle, and coordinate next steps
• Partner with site teams to move recall repairs and holds through efficiently
• Generate and maintain reports to track impacted vehicles and customers
• Registration & Titling
• Serve as a liaison between Flexcar, Avis Budget Group, and state registration agencies to keep our fleet fully compliant
• Verify that newly infleeted vehicles meet all state registration requirements before they go into service
• Track registration expirations and submit renewals or retitles on schedule so no vehicle operates on expired tags
• Maintain accurate digital registration records and keep internal vehicle databases in sync with the fleet's current state
• Audit registration work submitted by other sites to catch errors and uphold quality standards
• Customer & Site Coordination
• Communicate with customers about new registrations, replacement plates, and recall actions on their vehicle
• Ship registration materials, plates, and other items to customers and sites — including drop-offs at USPS, UPS, and FedEx
• Manage inventory for the Fleet Support Office (plates, registration stock, mailing supplies)
• Back up the team on vehicle checklists and conditional fee processing when needed
• Complete other assigned tasks from team leads and managers as directed

Requirements

• Attention to detail: Ensuring that vehicle records and internal trackers are always up to date with accurate information.
• Comfort with technology: Uses several internal systems throughout the day for documentation and task management, and has a strong foundation in Excel and Google Sheets.
• Operational discipline: Follows processes carefully, especially around outbound mail, inventory accuracy, and recall documentation.
• Clear communicator: Communicates professionally and effectively with internal teams, external partners, and customers.
• Team-oriented approach: Works collaboratively in a fast-paced, evolving environment where priorities may shift.
• Schedule flexibility: Willing and able to work days, evenings, weekends, and holidays as business needs require.
• Valid driver’s license with an acceptable driving record (per company standards)

• The hourly pay range for this position in California is $27.00 – $29.50 per hour.
• This range represents the reasonably expected pay range for this role within California. Actual compensation will be determined based on:

• This position is paid on an hourly basis and is eligible for overtime in accordance with California wage and hour laws.
