Job description

• We are seeking an experienced Manager of PI Litigation Paralegals to lead the day-to-day performance, structure and accountability of our litigation paralegal and support teams. This role will oversee case progression, deadlines, staffing, KPIs, attorney support, client service and operational compliance while driving efficiency and consistency across litigation operations.

Responsibilities

• Leadership & Team Management
• Lead, coach, develop and hold litigation paralegals, Senior Paralegals, Team Leads and support staff accountable.
• Interview and hire staff, assess staffing needs, balance workloads and address performance issues.
• Oversee Team Leads and ensure effective delegation, follow-up and escalation of outstanding issues.
• Conduct regular team meetings focused on workload, case progress, deadlines, performance and problem files.
• Develop onboarding, training, mentoring and professional development programs.
• Case Management & Litigation Operations
• Own the workflow and operating cadence that keeps litigation matters moving and minimizes overdue work.
• Ensure complaints, service, discovery, Form A, treatment tracking and other litigation milestones are completed timely.
• Monitor statutes of limitation and other critical deadlines, ensuring clear ownership and escalation.
• Identify stalled or high-risk files and establish action plans with attorneys and paralegals.
• Ensure pleadings, discovery, exhibits, correspondence and case files are accurate, organized and compliant.
• KPIs, Reporting & Litify
• Monitor and enforce key litigation KPIs, including complaints, service, discovery, Form A, Treatment Trackers and Friendly Dashboard reporting.
• Review workload and performance trends to identify bottlenecks and prevent overdue work.
• Ensure accurate and consistent Litify data and timely completion/review of paralegal tasks.
• Conduct periodic audits of files, workflows and documentation.
• Attorney & Client Support
• Ensure attorneys receive timely, high-quality support for discovery, depositions, mediations, arbitrations, conferences and trials.
• Serve as an escalation point for attorney/paralegal workflow, communication and workload issues.
• Ensure required client touchpoints are completed and documented.
• Oversee the Client Service Text Line and ensure client requests are assigned, tracked and resolved.
• Assist with escalated client concerns and ensure appropriate follow-through.
• Court, Compliance & Risk Management
• Ensure daily ownership of eCourts notices and immediate follow-up on time-sensitive matters.
• Maintain processes that prevent missed deadlines, incomplete filings, service issues and other operational risks.
• Ensure compliance with firm policies, court requirements and applicable procedures.
• Settlements, Closings & Financial Operations
• Oversee file closings, lien resolution, client notices and outstanding file obligations.
• Drive timely release and settlement disbursement processing.
• Monitor aging releases, SDS activity, liens, invoices and other financial/file obligations.
• Oversee recurring vendor invoices and ensure expenses are accurate, timely and properly documented.
• Ensure timecards, PTO, Ramp activity and other administrative processes are completed accurately and on time.
• Process Improvement & Technology
• Continuously improve paralegal workflows, SOPs, dashboards and operational controls.
• Maintain strong working knowledge of Litify and other legal technology.
• Identify opportunities for automation and process improvements that increase efficiency, accuracy and client service.
• Develop documented processes and backup procedures to ensure continuity of operations.

Requirements

• 10+ years of plaintiff personal injury paralegal experience, including at least 2 years in a supervisory or management capacity.
• Strong knowledge of plaintiff PI litigation, including pleadings, discovery, service, deadlines and file management.
• Multi-state plaintiff PI experience strongly preferred.
• Exceptional organization, follow-through and ability to manage high-volume litigation operations.
• Strong people leader with experience coaching, developing and holding teams accountable.
• Proactive problem-solver who identifies risks and drives issues to resolution.
• Excellent written and verbal communication skills with attorneys, staff, clients, courts and vendors.
• Comfortable working with KPIs, dashboards, Litify and legal technology.
• Calm under pressure, highly responsive and willing to step in when needed.

• Compensation: The base salary or hourly range for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to; prior relevant experience, business needs and market factors. Additionally, salary wages are only part of the total compensation package.
