Job description
- The Contract Administrator acts as a vital link between Sales and Production, ensuring all contracts are complete, accurate, and ready for processing. Reporting to the Intake & Ordering Lead, this role reviews incoming contracts, verifies documentation, communicates corrections, manages job holds, converts opportunities in rForce, and maintains digital files.
Responsibilities
- Contract Review: Verify customer info, product specs, pricing, permits, signatures, financing, and other required documentation.
- Issue Resolution: Identify and communicate missing or incorrect info, place jobs on hold if needed, track follow-ups, and escalate unresolved issues.
- CRM Management: Convert approved opportunities to sold orders in rForce, ensuring data accuracy.
- File Management: Upload and organize all related documents securely and systematically within rForce.
- Quality Control: Ensure orders meet standards before production, identify error trends, and support process improvements.
- Duplicate & Exception Control: Prevent billing duplicates, canceled jobs, and overlapping schedules.
- Performance Metrics: Maintain accuracy, timeliness, professionalism, and compliance in contract processing.
Requirements
- High school diploma required; degree in related field preferred.
- At least 2 years’ experience in contract/order processing or similar roles.
- Knowledge of window/door products and installation is a plus.
- Proficiency with rForce (Salesforce), Microsoft Office, and digital filing.
- Strong attention to detail, organization, communication, and problem-solving skills.
- Ability to work independently and collaboratively, managing high volumes and prioritizing effectively.
