- We’re looking for a highly organised, proactive and dependable candidate to support senior leaders in the day-to-day running of property and project workflows.
- This is a hands-on role for someone who enjoys making things happen. You’ll organise, follow up, coordinate projects and suppliers, keep track of costs and deadlines, and make sure nothing falls through the cracks.
- Alongside traditional administrative responsibilities, you’ll gain exposure to property sales, lettings and refurbishments, working directly with senior stakeholders, contractors, suppliers and other external partners.
Responsibilities
- Providing day to day administrative support
- Maintaining accurate Excel trackers, records and documentation
- Tracking invoices, managing budgets, and ensuring accurate payments
- Managing meetings, appointments and ad hoc requests as required
- Assisting with the sales, lettings, and refurbishment of properties
- Handling tenant issues professionally and promptly
- Acting as a key point of contact between site managers, builders, and suppliers to ensure timely project delivery
- Keeping senior leaders updated on progress, outstanding actions and potential issues
- Taking ownership of a wide variety of ad hoc administrative and operational tasks
Requirements
- 2–3 years’ experience in an administrative, executive support or coordination role
- Bachelor’s degree or equivalent experience
- Confident using Excel and excellent working with numbers, invoices and budgets
- Highly organised, with exceptional attention to detail
- Able to manage multiple priorities and follow tasks through to completion
- A proactive, self-starting attitude, you’re someone who takes initiative and gets things done
- Comfortable dealing with senior stakeholders, contractors, suppliers and external partners
- Strong written and verbal communication skills
- Practical, dependable and comfortable working in a fast-moving environment
- Portuguese language skills would be advantageous but are not essential
