• We are seeking a proactive, highly organized, and efficient Administrative Assistant to provide dependable administrative support to multiple executives and their teams. You will help manage schedules, coordinate meetings and travel, organize information, and support day-to-day business operations with professionalism, accuracy, and discretion in a fast-paced environment. The ideal candidate will have a proven track record of managing competing priorities, handling sensitive information with discretion, and facilitating smooth operations across various administrative functions. This role requires strong communication skills, the ability to anticipate needs, and an aptitude for problem-solving in high-pressure situations.

Responsibilities

• Provide administrative support to multiple executives, tailoring support to each leader’s priorities, working style, and business needs
• Manage calendars, schedule meetings, and help leaders stay organized and prepared
• Coordinate meetings, including agendas, materials, logistics, and follow-up
• Arrange domestic travel and manage itineraries and expenses
• Prepare and format presentations, reports, and other business materials
• Serve as a professional point of contact for internal and external stakeholders, helping route requests, coordinate logistics, and ensure timely follow-through
• Coordinate team meetings, offsites, customer meetings, and events
• Track deadlines, action items, and follow-ups
• Serve as a professional point of contact for internal and external partners
• Partner with other administrative team members to provide seamless support and coverage
• Handle confidential information with discretion and professionalism

Requirements

• 3+ years of executive or administrative assistant experience, preferably supporting multiple executives or senior leaders in a fast-paced or corporate environment
• Exceptional multitasking, organizational and time-management skills with the ability to manage competing priorities and deadlines
• Strong verbal and written communication skills
• High level of professionalism and discretion in handling confidential information
• Proficiency in MS Office Suite and collaboration tools (e.g., Teams, Slack)
• Comfortability adjusting to changing priorities and embracing challenges with a positive attitude
• Excellent relationship building skills, with the ability to interact with stakeholders at all levels
