- The Sr. Payroll Specialist & Office Administrator is responsible for preparing and processing the full-charge payroll function. This role also provides administrative support and coordination across operations, human resources, finance, and special projects.
Responsibilities
- Payroll Administration
- Performs full payroll processing, ensuring accuracy, adherence to policies, and vacation and time-off maintenance records.
- Responsible for payroll data entry, verification, and submission with a designated 3rd-party provider.
- Serves as the point of contact for payroll and any issues regarding pay and policy guidelines, including AWOP and vacation.
- HR & Benefits Support
- Assist the HR Manager with data entry, benefit processing, and the overall HR support function of the HRIS system.
- Assist the HR Manager with the coordination of benefits, open enrollment, new hire process, and other tasks as assigned.
- Travel & Event Coordination
- Assist, as needed, with all Company travel arrangements, scheduling meetings, compiling reports, and related data on a daily basis.
- Assist, as needed, with hotel accommodations for trade shows and sales meetings, including scheduling for all employees, outside sales teams, and sales reps.
- Lead and coordinate all company-sponsored activities, meetings, and company events. Assist area supervisors in preparing for departmental meetings and presentations.
- Office Administration
- Responsible for general office organization, including the office breakroom and general office supplies.
- Responsible for the preparation of all non-inventory purchase orders for distribution supplies.
- Assist the Vice President of Administration in the upkeep of a professional office environment to promote a positive work environment, image building, and overall office efficiencies.
- Reporting & Process Support
- Assist the Vice President of Administration in performing data entry duties, account reconciliations, and maintenance of audit files, including monthly spreadsheet updates.
- SOP updates and coordination of periodic reviews.
- General
- Other duties and projects assigned.
Requirements
- Education
- High school diploma required with a minimum of 4–6 years of related experience.
- College degree preferred.
- Experience
- Overall knowledge of payroll management software, understanding of company policy & guidelines, compliance, and overall office management, including HR management.
- Basic understanding of accounting, accounts payable, and receivable.
- Must have experience in coordinating projects with all levels of management, staff, and community officials.
- Working experience with high-level management, holding responsibility for confidential matters.
- Skills
- Ability to plan, prioritize, organize, and clearly define objectives.
- Excellent social skills are necessary for teamwork and management.
- Ability to execute a plan under time constraints without immediate supervision.
- Accuracy in working with large amounts of data.
- Possess excellent verbal and written communication skills.
