Job description

• We are seeking an organized, detail-oriented Administrative Assistant to support our team and help create an exceptional client experience. This individual will assist with day-to-day office operations, scheduling, client communications, file management, and administrative support.

Responsibilities

• Greet clients and visitors and manage reception desk responsibilities.
• Answer and route incoming phone calls.
• Coordinate client scheduling, follow-up, and communications.
• Provide administrative support to firm principals and team members, including calendar management, scheduling, and timekeeping.
• Prepare agendas, reports, presentations, and materials for client meetings and other business activities.
• Organize and maintain client files, records, and referral partner information.
• Coordinate bulk mailings and client outreach.
• Provide exceptional customer service and respond to client needs in a timely and professional manner.
• Maintain accuracy and quality across administrative work and client materials.
• Handle confidential and sensitive information with discretion.
• Assist with the final assembly of client tax documents and electronic filing of tax returns.
• Provide additional administrative and office support as needed.

Requirements

• 2+ years of administrative, customer service, or hospitality experience preferred.
• Experience within a CPA firm, accounting firm, or other professional services environment is a plus.
• Strong technology skills and ability to learn new systems quickly.
• Excellent organizational and time-management skills with the ability to manage multiple priorities.
• Strong attention to detail and commitment to accuracy.
• Excellent written and verbal communication skills.
• Professional, client-service-oriented approach.
• Desire to learn, grow, and develop through continued training.
