• Purpose of the Role
• The Coordinator, Business Development & Marketing will be responsible for providing support in the business development needs of the Regional office and dedicated sector focuses to enable revenue growth for the Region, in alignment with the Firm’s strategic plan. The incumbent will work closely with and support the Director, Regional Business Development.

Responsibilities

• Supporting the development and the execution of the business development plan for the Vancouver office by coordinating initiatives, tracking progress, and ensuring alignment with national priorities.
• Supporting the national Arbitration Group by assisting with ranking guide submissions, business planning, development of Insights, tracking memberships and leadership positions within industry organizations, tracking conferences and assisting with website updates and promotional content.
• Drafting and coordinating business development communications, including bulletins, reports, and internal announcements.
• Supporting execution of the Vancouver Whitecaps FC partnership, including managing asset deliverables, hospitality activations, promotional initiatives, co-branded merchandise, stakeholder communications, partnership reporting requirements, ticketing and the coordination of Train Like a ‘Cap and B90 events, as well as other partner-related initiatives.
• Supporting sponsorship strategy and execution by evaluating incoming opportunities, conducting research and making approval recommendations, coordinating internal workflows, and maximizing brand exposure and client engagement outcomes.
• Preparing submissions for various legal directories, guides and awards with direction from the relevant practice group and the Director, Regional Business Development.
• Assisting with the coordination of the Vancouver Marketing and Business Development Committee meetings, including preparing materials, developing agendas, facilitating monthly meetings, and tracking follow-ups and action items to support execution of priorities.
• Supporting client service and client development initiatives, including staying informed on client, industry, and sector trends and conducting research to support business development strategies, profile-building opportunities, sponsorship evaluations, and client initiatives.
• Acting as a key liaison between lawyers, internal business services teams, vendors, sponsors, event partners and external stakeholders to support the successful execution of business development initiatives.
• Supporting and coordinating firmwide and regional programs and initiatives, including the Driven by Women initiative, Alumni program and broader firm efforts.
• Administering and tracking BD budgets and expenses for the Vancouver office and practice groups, including preparing expense requests, reconciling spend, and ensuring alignment with approved budgets and allocations.
• Supporting client-facing and internal events
• Coordinating the Rogers Arena Suite and Whitecaps hospitality assets, including working with relevant lawyers on ticket allocation, managing related communications, and arranging catering requirements for suite.
• Tracking award nominations and researching strategic award opportunities to support client development and profile-building efforts.
• Providing operational and administrative support to the regional BD function, including maintaining record keeping spreadsheets, sponsorship tracking, internal communications, and special projects.
• Coordinating headshots for new hires.
• Managing and submitting invoices and a monthly credit card reconciliation, ensuring timely submission with appropriate approvals and allocations.
• Contributing to the development and refinement of BD processes, tools, and workflows including developing and managing trackers and workback schedules to improve team efficiency and consistency.
• Coordinating communications to lawyers regarding industry event opportunities and managing bookings for attendees.
• Preparing BD Expense Request Forms and liaising with lawyers and appropriate BD leads to secure approvals.
• Coordinating the production and printing of firm marketing collateral.
• Assisting with ordering and managing promotional items for the Vancouver office.
• Scheduling meetings, drafting meeting minutes and assisting with follow-up action items.
• Other special projects and support as requested.

Requirements

• Undergraduate education in Business Administration, Marketing, or a relevant field
• Minimum 3 years of business development or marketing experience, preferably in a professional services environment
• Ability to work in a fast-paced, high-pressure environment, with strong attention to detail and ability meet deadlines
• Understanding of legal and business environments
• Strong analytical thinking skills
• Strong project and time management skills and ability to manage a variety of concurrent projects
• Advanced proficiency in Microsoft Office applications (including Word, Excel and PowerPoint); experience working with CRM systems is an asset.
• Strong organizational, collaboration and relationship management skills
• Excellent verbal and written communication skills, including the ability to draft professional business development and marketing materials
• Strong professional presence with demonstrated ability to build strong working relationships with lawyers, internal stakeholders, external vendors and clients
• Ability to work independently, exercise sound judgment, and manage competing priorities with minimal supervision
• Ability to work outside regular business hours, where required

Benefits

• The expected salary range for this position is $51,600 - $86,000, depending on level of experience, region/location, and other factors.
