Job description

• Early-stage venture building a mission-driven initiative in sports and education is looking for an Executive Assistant to support its Managing Partner and Chief of Staff. This is an exciting opportunity to join a small, fast-moving team at the ground level, right as the venture ramps into a major launch event and beyond.
• In this role, you'll proactively own a complex, constantly shifting calendar, coordinate travel with an outside travel service, and provide backup support on the inbox and occasional personal tasks. Because the team is small, you'll also have the chance to jump into broader projects, from event logistics to editing, whatever the moment calls for.
• Someone who is highly proactive and takes action without waiting to be told. Someone who is outgoing, thick-skinned, and unbothered by blunt, direct communication or fast-paced feedback. Comfortable juggling constant communication across email, phone, and multiple group chats, and genuinely comfortable using AI tools to stay organized.

Responsibilities

• Proactively own and maintain a complex, fast-changing calendar, resolving conflicts and cleaning up outdated holds without needing to be asked.
• Coordinate all travel logistics in partnership with an outside travel service, including short-notice trips.
• Provide backup support on the inbox, flagging priority items while allowing the executive to remain directly responsive.
• Support occasional personal tasks, such as planning travel or vacations.
• Jump into broader team projects as needed, from event logistics to editing materials, given the size and stage of the organization.
• Triangulate information across multiple communication channels (email, phone, group chats) to keep priorities clear and current.
• Use AI tools to help synthesize scattered communication into clear action items.
• Collaborate closely with a small existing team as the organization scales.

Requirements

• 2-5 years of experience supporting a fast-moving executive, ideally in a high-growth startup, venture-backed company, or similarly fast-paced environment.
• Highly proactive, with an instinct to resolve issues and anticipate needs rather than wait for direction.
• Comfortable with blunt, direct communication and real-time feedback, without taking it personally.
• Outgoing and personable, with the ability to read tone accurately in fast, informal written communication.
• Strong organizational skills and the ability to manage a complex, ever-changing calendar with sound judgment.
• Genuine comfort with AI tools and an interest in using them to stay organized amid heavy communication volume.
• Available for short-notice travel and occasional long hours during busy periods.
• Excellent written and verbal communication skills, with the ability to work well across a small, close-knit team.
