• The Organizer Logistics Manager serves as the operational backbone for our Program Organizer team, ensuring our program participant’s experience is positive, seamless, and supported end-to-end.
• You’ll assist the Deputy Director of Program, Organizer Experience in managing the day-to-day schedule for 50 part-time Program Organizers (POs). Our POs are the heart of Rally Organizing Programs – creating virtual experiences that leave participants feeling enthusiastic, supported, and confident as trusted messengers in their communities. POs work in shifts, covering both event leadership and inbox support. As Organizer Logistics Manager, you are the front-line of ensuring the POs are appropriately scheduled based on their availability.
• We’re looking for a skilled planner and problem-solver. You’re comfortable taking disparate information sets and bringing them together to create a clear system. You’re adaptable to change and able to troubleshoot issues as they emerge while keeping the larger system running smoothly. If you’re energized by bringing order to complex logistics, supporting frontline team members, and ensuring high-impact programs run without a hitch, we’d love to have you on our team.
• This is a full-time, remote, and temporary position with an estimated start date of Tuesday, September 29 and an end date of Friday, November 13.

Responsibilities

• Working with the Deputy Director of Program, Organizer Experience to create the scheduling strategy for 50 part-time POs ensuring there is coverage across events and inbox shifts
• Manage the back-end operation of employee scheduling software (Deputy)
• Onboard and train POs on navigating Deputy, submitting availability, and managing shift swaps
• Audit and reconcile staff availability against shift schedules to proactively identify and resolve coverage gaps
• Create, publish and communicate weekly schedule with POs in clear and concise format
• Serve as the primary point of contact for daily scheduling adjustments, last-minute absences, call-outs, and urgent shift changes
• Ensure compliance with scheduling policies, including maximum hour caps, shift swaps and rest requirements
• Identify recurring scheduling pain points and collaborate with Program Organizer Experience team members to troubleshoot and find solutions
• Use our tools — Notion, Canva, Google Workspace, and Slack — to do the work, collaborate across teams, and execute asks on time.
• Take on additional responsibilities as they come up, with the expectation that your day-to-day mix of work will shift with program needs.

Requirements

• 1 - 3 years experience managing schedule for a team of part-time or contract staff
• Comfort with scheduling tools like Deputy, When I Work, or similar hourly scheduling software, or the ability to learn them quickly
• Strong organizational and logistical instincts and attention to detail
• Comfort and energy in fast-paced, scaling environments where priorities shift and you adapt with the team.
• Ability to communicate thoughtfully and clearly across different audiences and formats.
• Access to a computer and reliable internet

• Hours Expectations: This role requires a flexible schedule, including some evenings and weekends, to accommodate recruitment and event volume. We anticipate a six day workweek in the final stretch, starting in October and running through Election Day.
