Job description

• The Travel & Fleet Administrator manages company travel operations and vendor relationships while supporting corporate expense reconciliation. The ideal candidate has a strong background in corporate travel management , solid analytical skills utilizing Microsoft Excel , and a high level of customer service focused on both internal employees and external vendors. Previous experience with American Express (AMEX) and Concur (or similar corporate travel/expense systems) is highly preferred. Experience with fleet administration is optional but considered a plus , as long as the candidate has an interest in learning these responsibilities.

Responsibilities

• Key Accountabilities
• Travel & Expense Management (Primary Focus)
• Communicate and enforce corporate travel policies with the company travel agent to ensure full alignment.
• Process expense reports and carefully reconcile credit card payments utilizing Concur and AMEX platforms.
• Analyze travel data and expenses using Microsoft Excel to identify cost-saving opportunities and trends.
• Customer Service & Administration
• Provide high-level customer service and support to internal employees navigating travel arrangements or expense reporting, as well as external vendors.
• Troubleshoot travel-related issues or expense discrepancies with an analytical, problem-solving mindset.
• Fleet Administration (Optional / Secondary Focus)
• Support maintaining fleet records and administer fleet program details including financing, billing, maintenance, repairs, accidents, and insurance.
• Obtain vehicles for newly eligible employees and coordinate replacements as needed.
• Recommend vehicles for the company selection list and compute personal usage of company cars for tax reporting.
• Stay informed of auto industry and fleet management trends to make recommendations for policy updates.

Requirements

• Oral and written communication skills
• BA/BS or equivalent and 5 years of experience related to fleet and travel administration required
• Several years of experience in a financial or purchasing capacity preferred

Benefits

• The annual base salary range for this role is currently $65,000 to $85,000 range. Individual employee compensation will ultimately depend on factors including education, relevant experience, skillset, knowledge, and particular business needs.
