• JOB SUMMARY: Under the supervision of the KRH General Manager, the Operations Coordinator is responsible for supporting guest services, operational logistics, staff coordination, and assisting with administrative tasks. The role includes managing guest reservations, overseeing inventory and logistics, and coordinating staff schedules and training. The Operations Coordinator will also play a key role in marketing efforts and managing external partnerships to ensure the efficient operation of the lodge.
• LOCATION: This position is in an office setting in Fairbanks, Alaska.

Responsibilities

• Guest Services & Reservations
• Take reservations and manage inquiries via phone, email, and live chat.
• Serve as the primary contact for guests, addressing pre-trip questions and providing travel assistance.
• Collect and organize guest information, including weights, allergies, and dietary restrictions.
• Follow up with guests on payments and travel logistics.
• Assign guest rooms in reservations platform and maintain accurate spreadsheets.
• Administrative & Operational Support
• Create, maintain, and update flight manifests, occupancy spreadsheets, and key operational documents.
• Coordinate vehicle preparation, including registration renewals, maintenance, and readiness.
• Manage logistics, including but not limited to flights, vehicles, trash, and cargo delivery.
• Oversee inventory management and assist with shopping for lodge supplies.
• Staff Coordination & Training
• Coordinate seasonal staff training programs and create staff schedules.
• Participate in job fairs and assist with the seasonal staff hiring process.
• Assist with interviews and identify qualified candidates for operational season.
• Marketing & Outreach
• Assist with social media platforms (Instagram, Facebook) and marketing campaigns.
• Analyze marketing data to adjust strategies and maximize lodge occupancy.
• Assist with building and maintaining relationships with travel agents and tour operators.
• Partnerships & Compliance
• Liaise with business partnerships to coordinate logistical needs.
• Assist with communication and preparation of reports for the National Park Service.
• Accounting & System Management
• Respond to accounting-related inquiries and provide necessary documentation.
• Set up and manage POS system for lodge transactions.
• Other duties as assigned.
• This position has no supervisory responsibilities.
• Ability to learn and use reservations platforms, POS systems, and operational software
• Strong communication, organizational, and multitasking skills
• Ability to work both independently and as part of a team
• Strong attention to detail and ability to maintain accurate records

Requirements

• High School Diploma or equivalent experience
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
• Minimum two years of experience in operations coordination, hospitality, logistics, or a related field
• Minimum two years of customer service and/or reservations support experience
• Valid driver’s license
• Experience in lodge, tourism, or hospitality operations
• Experience managing logistics such as flights, cargo, transportation, or inventory
• Experience coordinating schedules or staff training
• Familiarity with social media platforms, marketing tools, or basic analytics
• Experience working with Alaska Native organizations or in rural Alaska operations
• Prior experience supporting partnerships or regulatory reporting (e.g., National Park Service)
