• We have an immediate opening for a Design Data Administrative Assistant supporting the Design group at our brand-new, state-of-the-art office building at our south Denver office in Dove Valley, Colorado. The ideal candidate has excellent organizational skills, attention to detail, and able to work fully in-office.

Responsibilities

• Extract, compile, and manipulate data from multiple databases and platforms, including SAP and Smartsheet, to support reporting, process improvements, and business operations.
• Maintain various Excel tracking sheets.
• Utilize Excel functions such as X-lookups, V-lookups, pivot tables, filtering, and sorting to organize and analyze large data sets.
• Ensure data accuracy through regular audits, validation, and reconciliation of reports and tracking tools.
• Generate recurring and ad hoc reports to support resource planning, project tracking, and department performance metrics.
• Collect, organize, and maintain project, resource, and workload data from multiple sources.
• Properly scan and document paperwork.
• Support design leadership with data entry, report preparation, meeting materials, and administrative tasks
• Perform quality assurance reviews and quality control checks as directed by leadership to ensure accuracy, compliance, and adherence to established standards.
• Respond to requests for information and provide administrative support
• Other duties as assigned.

Requirements

• High school diploma or equivalent.
• One year of data and administrative experience.
• Ability to prioritize and plan work activities to be effective and efficient.
• Must be comfortable and effective working in an environment with changing demands, delays and responding to unexpected situations.
• Ability to maintain and protect confidential information.
• Working knowledge of Microsoft applications including Word, Excel and Outlook.
• Excellent verbal and written communication skills required; ability to maintain a high level of professionalism
• Experience in SAP, SharePoint, and Smartsheet is a plus.
