Job description

• Reporting to the Class of 1955 Executive Director of PBHA, the Assistant Director of Operations and Development will play a critical role in developing and overseeing donor management, communications, and alumni engagement systems to support the Executive Director, Senior Development Coordinator, and student officer efforts.
• The position will support projects related to PBHA’s 501C3 financial systems and data analysis in consultation with the Assistant Director of Financial Strategy for PBHA.
• The position will create systems and structures that build institutional memory, streamline transitions of staff and student leaders, and reduce administrative workload of the Executive Director in support of PBHA’s mission with a special focus on managing PBHA operations and internal HR processes.
• The position will also supervise the Vehicles Coordinator and Operations Coordinator positions, fundraising and event consultants and coach events, alumni, and communications student officers, and support them in their areas of responsibility.

Responsibilities

• Core duties
• Supports the Senior Development Coordinator and Executive Director in producing donor profiles, identifying prospects, and drafting detailed reports
• Manages PBHA donor wealth screening IWave system and research data relevant to respective fundraising efforts
• Manage PBHA donor check deposit data fidelity and thank yous.
• Supports fundraising campaign strategy and volunteer management through providing key data and administrative support, manage PBHA Major Gifts data and strategy, including stewardship.
• Manages donor dashboard and create models for fundraising goals. Support and project manage additional PBHA fundraising projects including Resource Development committee goals as well as PBHA’s Summer Urban Program auction, alumni reunions, regional events and student director coaching as assigned.
• Works with the Executive Director, staff and students to identify barriers to achieving work goals and develop systems to increase efficiency and ease burden.
• Oversees strategic management and supervises tech support of related PBHA internal software systems
• Collaborates with PBHA Financial Administrator on projects to improve systems like QuickBooks.
• Manages PBHA hiring processes and supports the Assistant Director of Financial Strategy with Gusto payroll operations.
• Guides, develops and recommends communication strategies, policies and procedures to engage donors and stakeholders and keep them informed.
• Serves as PBHA administrative liaison to PBHA-A SIG
• Manages Vehicles Coordinator and PBHA Operations Coordinator positions.
• Supervises consultants and directs coaching of 2 student officers annually with responsibility for supporting communications, events, and alumni engagement.

Requirements

• Bachelor’s degree or equivalent work experience required
• Minimum of 5 years’ relevant work experience
• Master's Degree strongly preferred
• Work within Public Service and/or with young adults
• Salesforce experience
• G suite experience
• Donor screening tools
