Operations Coordinator at Mattamy Homes in Mississauga, Canada

Job description

• This is an exciting opportunity for a highly organized, detail-oriented coordinator who enjoys keeping projects, systems and people moving. In this role, you’ll play an important part in supporting GTA Homebuilding operations by coordinating permits, maintaining accurate construction data and documentation, and collaborating across teams to improve processes and help deliver great experiences for our homeowners.

Responsibilities

• Coordinate permit-related activities, including permit application submissions, intake reviews, document management and stakeholder follow-up to support timely approvals.
• Maintain and administer BuildPro system data, including lot personnel assignments, project setup activities and ongoing auditing to ensure data accuracy and compliance with established processes.
• Upload, manage and validate structural, grading and other construction documentation between enterprise systems and BuildPro.
• Maintain and track operational tools and records, including specification trackers, lockbox codes, quality management information and other construction support documentation.
• Monitor lot setup and integration activities between JDE and BuildPro, ensuring all lots are accurately established and maintained within company systems.
• Track system access, user accounts and usage for Construction and Operations teams, coordinating setup, changes and issue resolution as required.
• Provide administrative support for operational processes, including cheque requisitions, warranty system administration and other departmental activities.
• Collaborate with Construction, Customer Care, Land Development and Finance teams to identify process improvements, maintain data integrity and support operational excellence.

Requirements

• A minimum of 2 years of experience in administration, operations coordination or construction support role within a fast-paced environment.
• Strong proficiency in Microsoft Office, particularly Excel, Outlook and Word. Excel will be tested at interview.
• Excellent organizational skills with the ability to manage multiple priorities, deadlines and competing requests.
• Strong attention to detail and commitment to maintaining accurate records, documentation and system data.
• Ability to learn and navigate multiple business systems while following established processes and procedures.
• Exceptional interpersonal and customer service skills with the ability to work effectively across multiple departments.
• Strong written and verbal communication skills.
• Self-motivated and proactive, with the ability to work independently and as part of a collaborative team.
• Demonstrated problem-solving skills and a continuous improvement mindset.
• Experience working in residential construction, homebuilding, permits, customer care or warranty operations.
• Experience with BuildPro, JD Edwards (JDE), or similar enterprise systems.
• Knowledge of municipal permitting processes and/or architectural drawings.
• Experience with system administration, user account management or operational process auditing.

Benefits

• The expected base salary range for this position is $50,000 – 73,500. Actual pay may vary depending on your job-related knowledge, competencies, and skills. We recognize that exceptional situations may fall outside this range, and we encourage all interested candidates to apply.
