- Eaton’s IS AER ITD division is currently seeking an onsite Sr. Executive Assistant for its Camarillo, CA location.
- The Sr. Executive Assistant reports to the Site Human Resources Manager and provides dedicated executive administrative support to both the Site HR Manager and the Interconnect Technologies Distribution (ITD) Operations Director. This role partners closely with the leadership team to coordinate business activities, manage executive priorities, and facilitate effective communication across the organization. The Sr. Executive Assistant serves as a trusted business partner, exercising sound judgment, discretion, and professionalism while handling confidential information, managing competing priorities, and ensuring the efficient execution of leadership objectives and business initiatives.

Responsibilities
- Provide comprehensive executive administrative support to the Site HR Manager and ITD Operations Director, ensuring efficient management of daily operations and strategic priorities.
- Maintain the HR Manager & Director’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Manage and coordinate site leadership meetings, employee engagement events, leadership offsites, and executive visits.
- Prepare executive briefing materials, meeting agendas, and presentation content for leadership reviews and business updates.
- Track action items, commitments, and follow-up activities arising from leadership meetings and operational reviews.
- Exercise the highest level of discretion when handling sensitive employee, business, financial, and organizational information.
- Build collaborative relationships across departments to facilitate effective communication, problem-solving, and execution of business priorities.
- Support the HR Manager in coordinating onsite employee engagement activities, recognition programs, site events, leadership meetings, and employee communications.
- Partner with the Global Operations Director in planning and executing ITD Regional Leadership offsites, including agenda coordination, travel and lodging arrangements, meeting logistics, materials preparation, and onsite support.
- Serve as a primary point of contact between leadership, employees, and external stakeholders, fostering effective communication and ensuring timely resolution of inquiries.
- Coordinate work with other staff as needed; play a key role in the coordination of staff efforts both within and outside the department.
- Independently assess, prioritize, and manage requests, issues, and matters requiring leadership attention, redirecting or resolving items as appropriate.
- Prepare and edit correspondence, communications, presentations, and other documents
- File and retrieve documents and reference materials, collate, and manage data
- Conduct research, collect, and analyze data to prepare reports and documents
- Attend leadership meetings, capture key discussion points, action items, and decisions, and distribute meeting summaries to ensure accountability and follow-through.
- Answer and manage incoming calls, monitor, screen, respond to and distribute incoming communications
- Receive and interact with incoming visitors and external guests
- Coordinate and support cross-functional projects, events, and initiatives, ensuring milestones, deliverables, and deadlines are effectively tracked and communicated.
- Identify opportunities to improve administrative processes, workflows, and organizational effectiveness through continuous improvement initiatives.
- Sort and triage mail; maintain e-mail and other address directories.
- Prepare, reconcile, and submit expense reports.
- Maintain paper and electronic filing systems.
- Maintain confidential and sensitive information.
- Complete a variety of special projects including creating PowerPoint presentations, special reports, and agenda material.
Requirements
- Bachelors degree required.
- Minimum of 3 years of executive administrative experience supporting and partnering with C-suite executives and senior business leaders.
- Excellent written and verbal and communication skills.
- Must possess efficient organizational skills with a familiarity with office procedures.
- Advanced level understanding of computer software and programs, including Microsoft Office, Excel, PowerPoint, etc.

- This position requires use of information or access to hardware which is subject to the International Traffic in Arms Regulations (ITAR). - Demonstrated experience independently managing complex calendars and scheduling for senior leaders.
- Advanced proficiency in Microsoft Outlook, PowerPoint, Excel, Word, and Teams.
- Experience coordinating travel, expense reporting, and executive-level meetings.
- Ability to compose professional written communications with minimal direction.
- Proven ability to prioritize multiple competing tasks in a fast-paced environment.
- A detail-oriented self-starter with prior experience in manufacturing environment.
- Someone who exhibits sound judgment with the ability to prioritize and make decisions.
