Job description

• This Executive Assistant role provides strategic and operational support to the Head of Human Resources and HR Leadership Team (HRLT). This role ensures effective execution of HR priorities, processes, communications, project coordination, communication management and meeting effectiveness while serving as a trusted partner to the Head of HR.
• The position combines high-level executive support with project management, organization and coordination responsibilities, requiring exceptional judgment, discretion, trustworthiness, attention to detail, and the ability to manage multiple priorities simultaneously.

Responsibilities

• Executive Support
• Provide high-level executive support to the Head of Human Resources, including calendar management, scheduling, travel coordination, and administrative logistics.
• Represent the Head of HR professionally with internal and external stakeholders.
• Manage executive priorities by coordinating follow-up and helping ensure timely completion of leadership decisions.
• Anticipate executive needs and proactively resolve scheduling, communication, and administrative challenges.
• Identify opportunities to improve processes, communication, and effectiveness.
• Handle sensitive employee, organizational, and business information with a high degree of discretion and professionalism.
• Facilitate cross-functional coordination among HRLT, HR teams, and business stakeholders to ensure effective coordination and execution of projects and priorities.
• HR Leadership Team Support
• Serve as the primary administrative partner for HRLT activities, operating rhythms, and annual planning calendars.
• Manage HRLT meeting schedules, agendas, action items, and follow-up.
• Track commitments, decisions, and deliverables across the HRLT.
• Coordinate leadership meetings, offsites, workshops, and team events.
• Track key initiatives, decisions and action items to support accountability and follow-through.
• Support change management and communication planning for major initiatives.
• Coordinate enterprise HR projects and initiatives from planning through implementation.

Requirements

• 3+ years of experience in executive administration, project coordination, operations, HR, or related fields.

• Experience coordinating projects across cross-functional stakeholders.
• Strong project management and coordination skills.
• Exceptional organizational communication, relationship building skills and attention to detail.
• Exceptional judgement and ability to handle highly confidential information with discretion.
• Strong Microsoft 365 skills, including PowerPoint, Excel, Teams, Outlook and SharePoint.
• Ability to influence and drive follow-through without direct authority.
