Job description

• Ring & DuChateau, LLP is a well-established MEP engineering design firm with a team of more than 100 employees supporting the delivery of HVAC, plumbing, fire protection, electrical, lighting, technology, and commissioning services. We are seeking a Commissioning Administrative Assistant to provide administrative and organizational support to the Commissioning team.
• This is a part-time, benefits-eligible position scheduled for approximately 30 hours per week. In this role, you will help keep the department organized and operating efficiently by supporting documentation, communication, scheduling, reporting, and other day-to-day administrative needs. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable supporting multiple team members and priorities in a professional services environment.

Responsibilities

• Provide administrative and organizational support that helps the Commissioning team operate efficiently and stay organized.
• Support the preparation and quality of commissioning reports, plans, specifications, presentations, proposals, and other department documents.
• Maintain organized department and project records, electronic files, templates, logs, spreadsheets, and administrative resources.
• Support department scheduling, meetings, travel, calendars, meeting documentation, and follow-up communication.
• Assist with routine communication and administrative coordination among commissioning staff, clients, contractors, and project teams.
• Support the department's use of CxAlloy, Procore, SharePoint, Bluebeam, and other document management or project systems.
• Provide general operational support, including supplies, equipment records, recalibration documentation, notary needs, and department initiatives.

Requirements

• An associate degree in Business Administration, Office Administration, or a related field preferred; equivalent education and experience will be considered.
• Two or more years of administrative support or office administration experience preferred; experience in architecture, engineering, construction, or professional services is a plus.
• Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
• Excellent attention to detail and strong written and verbal communication skills.
• Professionalism, sound judgment, confidentiality, and a collaborative, service-oriented approach.
• Proficiency with Microsoft Office and Adobe Acrobat; experience with Bluebeam Revu, CxAlloy, Procore, or similar systems is preferred, but not required.
• An interest in learning commissioning terminology, processes, and department-specific systems.
