Job description

• St. Mark Roman Catholic Church, located in Fallston, MD, seeks candidates for an Administrative Assistant whose strength lies in managing the day-to-day administrative tasks with detail, discretion and efficiency, supporting the staff and pastor of St. Mark. The applicant must be a practicing Catholic, have strong interpersonal skills, and a desire to serve. The applicant must have proficiency in Microsoft Office and have experience with database management and record-keeping. The administrative assistant is the first point of contact for the members of the parish and visitors. The position is 9AM to 5PM, Monday through Thursday. Applicants must submit a resume and a cover letter.

Responsibilities

• Ensures that everything is prepared for the celebration of the liturgy including intercessions, announcements, calendars, programs, scheduling liturgical ministers and sacristans, etc.
• Assist the pastor in preparing and coordinating the clergy schedule.
• Prepare Mass Cards and enter information into Mass Intention calendar.
• Assists the pastor with letters and correspondence.
• Ensures that everything is prepared for faith formation programs for children and adults.
• Ensures that all Sacramental paperwork is in order.
• Assist the Director of Youth Ministry and Director of Outreach to ensure smooth operations of their programs
• Ensures the smooth running of the Parish Office including directing calls, greeting visitors, receiving and distributing mail and deliveries, preparing mailings, ordering supplies, producing the weekly bulletin, sending thank you and acknowledgement letters, etc.
• Inputs, updates, and maintains the parish records, and posts donations, in Ministry Platform (the archdiocese database software).

Requirements

• Practicing Catholic with commitment to the mission and values of the church, to include living a lifestyle consistent with Catholic teaching and attending mass and receiving the sacraments.
• High school diploma or equivalent; associate or bachelor’s degree preferred.
• Previous experience in an administrative role.
• Strong people, written and verbal communication skills.
• Excellent organizational and multitasking skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with database management and record-keeping.
• Ability to handle sensitive information with discretion.
• Strong interpersonal skills and the ability to work well with a diverse group of people.
• Detail-oriented and able to work independently.
• Familiarity with church operations and culture is a plus.
• Ability to manage time effectively and prioritize tasks.
• Strong problem-solving skills.
• Minimum of 5 years’ experience as administrative assistant or similar position.
