Job description
- As a Project Manager, Facilities Readiness , you will help prepare tax offices for seasonal and operational changes that affect physical locations, equipment, office space, and facility-related dependencies. You will manage projects that bring together facilities readiness, real estate, sourcing, technology, vendor coordination, and field operations support so offices have the resources and information needed to open, operate, relocate, refresh, or transition successfully.
- This role is important because office readiness directly impacts the associate and client experience. Clear planning, timely coordination, and accurate field-facing guidance help ensure tax offices are prepared to deliver consistent service, reduce operational disruption, and resolve readiness risks before they affect execution. This position may support a variety of projects throughout the year based on business priorities, seasonal needs, office changes, field feedback, and facilities readiness efforts.
Responsibilities
- Day-to-day, you’ll...
- Manage facilities readiness projects that support seasonal and operational execution across tax offices.
- Coordinate workstreams related to sourcing, real estate, hardware, physical spaces, new offices, relocations, office refreshes, supplies, maintenance, and office technology implementation.
- Partner with Real Estate, IT, Sourcing, Operations, vendors, Advisors, Field Operations support teams, and field leaders to align owners, deadlines, dependencies, and handoffs.
- Maintain readiness plans, project timelines, milestones, risks, decisions, issue logs, checklists, and status updates.
- Support planning for new office openings, relocations, refreshes, ramp-up activities, close-down routines, and other facility-related transitions.
- Develop and maintain office readiness checklists, equipment lists, vendor coordination templates, field-facing planning materials, job aids, and leader action items.
- Track facilities readiness risks, open items, vendor dependencies, support needs, escalation items, and milestone completion.
- Coordinate readiness activities for physical office technology and equipment needs, including digital door, lighting, security, furniture, hardware, and related operational impacts.
- Gather field feedback, operational insights, vendor input, and Advisor observations to identify recurring facilities barriers and improvement opportunities.
- Document lessons learned, recommendations, and post-launch or post-season insights to improve future facilities readiness planning and execution.
Requirements
- Bachelor’s degree in Business, Project Management, Management Information Systems, Operations, or related area, or the equivalent through a combination of education and related work experience.
- 3 to 5 years of related experience in project management, operations, field support, facilities coordination, business readiness, product readiness, communications, or cross-functional business support.
- Familiarity with project management practices, including project plans, milestones, dependencies, risk tracking, decisions, issue management, and status reporting.
- Demonstrated decision-making, analytical, and problem-solving skills with the ability to identify root causes, risks, and practical next steps.
- Proven ability to manage priorities, meet deadlines, and support multiple projects or workstreams with limited day-to-day direction.
- Effective oral, written, facilitation, and stakeholder communication skills.
- Ability to work collaboratively across field, corporate, vendor, and business partner groups in a matrixed environment.
- Proficiency with Microsoft Office applications, collaboration tools, reporting tools, and project planning or work management tools.
- Ability to translate business priorities, field feedback, and operational requirements into clear project plans, readiness materials, and action-oriented updates.
- Strong attention to detail, documentation discipline, continuous improvement mindset, and commitment to delivering accurate field-facing work products.
- PMP certification, equivalent project management training, or completed coursework toward project management certification.
- Experience in tax, financial services, retail, seasonal operations, field leadership, consulting, or another operationally complex environment.
- Experience supporting facilities readiness, office readiness, business readiness, product readiness, field operations, or associate enablement.
- Experience coordinating with real estate, sourcing, technology, vendors, maintenance, or facilities support teams.
- Experience using dashboards, operational metrics, feedback themes, issue logs, or performance insights to support project decisions.
