Job description

• The Program Manager in the Chapters Affairs Department supports the mission, agenda and strategic plan of the ACC, the ACC domestic Chapters, and the Board of Governors (BOG). The BOG is a leadership body comprising elected representatives from every state and other entities. The Associate will advise and partner with BOG leaders, ACC domestic Chapter Executives, and department staff in the management and oversight of the College’s domestic Chapters, and lead and support in the implementation of ACC programs through interaction with Chapter leaders and other staff.
• The Program Manager serves as the Chapter Executive for ACC-managed Chapters and provides strategic, operational, financial, and governance leadership to Chapter offices and volunteer leaders,
• Domestic Chapters and ACC National, though incorporated separately, collaborate extensively toward the common goal of transforming cardiovascular care and improving heart health. Chapters and ACC National share this mission with a focus on education, advocacy, quality improvement, member value and engagement, and member-driven values.

Responsibilities

• Serving as the primary strategic and operational advisor to Chapter Presidents, Governors, and volunteer leaders.
• Working with the Chapter Presidents, Governors and other volunteer leaders on the administration of the Chapter, member programming, annual budgeting, tax preparation, and other Chapter activities.
• Developing annual priorities, work plans, budgets, and programs aligned with ACC and Chapter strategic goals.
• Providing oversight of Chapter governance, financial operations, compliance, contracts, and organizational records.
• Identifying operational challenges and recommending solutions to strengthen Chapter performance and sustainability
• Represents ACC National at Board of Governors, Chapter, and national meetings to strengthen relationships, support volunteer leadership, and advance Chapter and College priorities
• Functions as the primary staff liaison between ACC and the Chapter Executives including working with the Chair of the Chapter Executives, scheduling monthly meetings with the Chapter Executives, and planning at least two in-person meeting with the Chapter Executives per year.
• Assists in the logistical support and on-site management of two in-person BOG meetings per year and one annual virtual meeting.
• Oversees the end-to-end recruitment and selection process for new Chapter Executives, including:
• Development and distribution of requests for proposals.
• Coordination of interviews and candidate evaluation.
• Support for contracting, transition planning, and organizational continuity.
• Updating program information and application materials.
• Managing the application and review process.
• Convening and supporting the selection committee.
• Communicating award decisions.
• Soliciting progress reports.
• Partnering with Finance to distribute funds.
• Evaluating program outcomes and recommending improvements.
• Serves as a trusted advisor to the BOG members, Chapter Executives and Chapters in meeting their needs through timely responses to email, phone, and mail inquiries.
• Provides guidance and resolution for Chapter Membership questions, policies and operational issues.
• Collaborate with staff from all departments within the College to support member-driven programmatic initiatives.
• Directs operational planning and logistics including announcements, tracking invitations, travel policy implementation, travel reimbursement reports and follow-up in coordination with other staff members for several large meetings annually.
• Partners with chapter leaders and other staff to advance engagement for various member categories, including Fellow in Training and Early Career, at the Chapter level.
• Leads strategic projects and process improvements that strengthen Chapter operations, governance, and member engagement.
• Develops tools, resources, and operating standards to improve consistency and efficiency across ACC-managed Chapters.
• Analyzes Chapter trends, operational data, and stakeholder feedback to inform planning and recommendations.
• Represents Chapter Affairs in discussions with senior volunteer leaders, members, partners, vendors, and internal stakeholders.
• Other duties as assigned.

Requirements

• Bachelor’s Degree
• 7+ years experience in association or nonprofit management
• Strong skills with Microsoft Word, Excel, Power Point and SurveyMonkey
• Excellent communication skills
• Attention to detail and ability to complete assigned tasks within established deadlines
• Work effectively in a team environment
• 15% travel required
• Health care association experience, preferred
• Membership database administration experience, such as Salesforce preferred
