Job description
- We’re looking for a highly organized, energetic, and proactive Executive Assistant / Office Coordinator to join a growing company and help keep both the office and executive team running smoothly.
- This is not a senior operations position, and we’re not necessarily looking for someone with years of high-level executive experience. We’re looking for someone smart, capable, dependable, and hungry to grow — the type of person who naturally notices what needs to get done and makes sure it happens.
- The role will be approximately 70% office coordination and 30% executive support.
Responsibilities
- You’ll serve as a central point person within the office, helping keep communication, meetings, responsibilities, and day-to-day issues organized.
- Attend meetings, take notes, and track action items and follow-ups
- Make sure team members stay on top of assigned tasks and deadlines
- Follow up internally to keep projects and responsibilities moving
- Serve as a first point of contact when employees have day-to-day questions or issues
- Resolve straightforward problems independently and escalate larger issues when necessary
- Coordinate meetings and internal schedules
- Help organize vendors, services, supplies, and other office needs
- Keep information organized and make sure things don't fall through the cracks
- Support general office coordination as the company continues to grow
- You’ll also work directly with a senior executive, helping them stay organized and focused on their highest-priority work.
- Calendar and meeting management
- Scheduling meetings and coordinating follow-ups
- Light email management
- Researching vendors, services, companies, or other information as needed
- Reaching out to business contacts and coordinating introductions or meetings
- Helping track executive priorities and outstanding tasks
- Occasionally attending trade shows or industry events and helping track contacts and follow-ups
- Handling miscellaneous projects and requests as they arise
