• GTSC Human Resources (HR) seeks a Leave & Benefits Specialist.
• Location: Chantilly, Virginia. Hybrid-eligible after 90 days.
• The Leave Specialist is responsible for administering employee leave programs and supports employee benefits administration. This role manages all aspects of federal, state, and contract-specific leave programs, including FMLA, ADA, USERRA, and Short-Term Disability, while serving as a primary resource to employees and managers throughout leave and benefits processes. The position also supports benefits invoice reconciliation, vendor coordination, and employee communications. Success in this role requires attention to detail, strong follow-through, sound judgment, and exceptional interpersonal communication skills.
• This position regularly has access to highly confidential employee and organizational information, including medical documentation, leave administration records, benefits data, compensation information, personnel actions, investigations, and protected personal information. The incumbent is expected to maintain the highest level of discretion, confidentiality, and professionalism and to protect sensitive information in compliance with applicable laws, regulations, and company policies.

Responsibilities

• Leave Administration
• Process intermittent and continuous FMLA leave requests, ensuring compliance with regulatory timelines.
• Evaluate and process ADA job accommodation and ADA-related leave requests, coordinating interactive processes and supporting documentation.
• Coordinate Short-Term Disability (STD) needs and communicate with third-party administrators or carriers as needed.
• Process and manage USERRA leave requests, ensuring proper communication and documentation.
• Provide timely and empathetic responses to employees and managers on leave rights, obligations, and procedural requirements.
• Draft and issue all necessary leave correspondence to employees and managers on leave rights, benefit-related financial obligations, and procedural requirements.
• Coordinate return-to-work efforts, including documentation, modified duties, and employee re-entry support.
• Partner with internal departments to ensure alignment on charge codes, systems access changes, and accurate recordkeeping throughout the leave lifecycle.
• Support monthly benefits invoice reconciliation and vendor inquiries by confirming eligibility, coverage changes, and vendor accuracy, coordinating to resolve discrepancies as needed.
• Process benefits transactions associated with hiring, staffing changes, and QLEs in coordination with HRIS and benefits vendors.
• Support benefits-related audits and compliance activities, including documentation validation, reporting requirements, and correction activities.
• Participate in organizational wellness initiatives, including wellness-focused newsletter content and distributing other benefits-related resources.
• Stay informed of changes in federal, state, and local labor laws that may affect leave or benefits administration.
• Conduct annual audits of leave records and related benefits documentation to ensure regulatory compliance and internal accuracy.
• Perform other duties as assigned.

Requirements

• 3–7 years of experience administering employee leave programs.
• In-depth knowledge of FMLA, ADA, USERRA, SCA, and related federal/state leave laws.
• Experience assisting with benefits processes, including premium tracking and invoice reconciliation.
• Strong ability to communicate clearly and compassionately with employees regarding sensitive and confidential matters.
• Experience working with third-party administrators and coordinating multi-party processes.
• High attention to detail, organization, and time management.
• Ability to handle confidential information with discretion and professionalism.
• Proficiency in HRIS and provider portals; experience with iSolved or similar platforms is a plus.
• Solid understanding of payroll coordination and cost allocation related to leaves and benefits.
