- As the first point of contact for our financial services firm, you are more than just a receptionist; you are the face and voice of our brand. We are looking for a high-energy professional who thrives in a fast-paced environment and can balance technical data management with a warm, welcoming presence. This role is pivotal in ensuring our clients feel valued from the moment they walk in, while simultaneously supporting our back-office operations through meticulous data entry and research.
Responsibilities
- Client Relations: Serve as the primary "Director of First Impressions," greeting customers with an upbeat, professional demeanor and managing a high-volume multi-line phone system.
- Data & Record Management: Update and maintain complex Excel spreadsheets with high accuracy; perform heavy data entry to ensure client records are current.
- Research & Support: Conduct background research to assist financial advisors in preparing for client meetings and market analysis.
- Digital Marketing Support: Assist with basic marketing tasks, which may include updating social media profiles, preparing mailers, or coordinating client appreciation events.
- Administrative Flow: Manage incoming/outgoing mail, maintain the lobby aesthetic, and ensure the office remains organized and efficient.
Requirements
- Technical Proficiency: Strong typing speed and accuracy are essential. You should be highly comfortable navigating Microsoft Excel (data entry, basic formulas, and formatting).
- Communication Ace: Previous experience managing multi-line phone systems and the ability to route calls efficiently while maintaining a friendly tone.
- The "X-Factor": A naturally upbeat, "can-do" personality. You should be someone who genuinely enjoys helping people and stays calm under pressure.
