- Sigma Inc. is seeking a professional, organized, and customer-focused Receptionist to support the Commonwealth of Massachusetts, Executive Office of Health and Human Services (EOHHS), in Boston, MA.
- The ideal candidate will provide front-desk customer service, manage multi-department telephone calls using the Five9 telephone system, and perform essential administrative and document management duties. This position is ideal for candidates with experience in reception, customer service, office administration, data entry, document scanning, and electronic filing.
Responsibilities
- Operate the Five9 telephone system to route multi-department calls efficiently.
- Greet visitors and provide professional customer service at the department’s point of entry.
- Answer, screen, and route incoming telephone calls to the appropriate departments.
- Scan documents into PDF format and organize files for electronic filing.
- Index and prepare boxes of documents for scanning.
- Open, sort, and distribute daily mail.
- Maintain accurate electronic files and document records.
- Support administrative projects and other office duties as assigned.
- Follow established procedures for document handling, filing, and customer service.
- Maintain a professional, organized, and welcoming reception environment.
Requirements
- Previous experience in reception, customer service, administrative support, or a related office environment.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite, including Word and Excel.
- Experience handling telephone calls and directing inquiries appropriately.
- Strong organizational skills and attention to detail.
- Ability to manage multiple administrative tasks efficiently.
- Ability to work independently and collaboratively in a professional office environment.
- Willingness and ability to work onsite in Boston, Massachusetts.
- Experience with the Five9 telephone system or a similar multi-line phone system.
- Experience with document scanning, PDF creation, and electronic filing.
- Experience with file indexing, document preparation, and records management.
- Previous experience in a government agency, healthcare organization, or public-facing office.
- Familiarity with mail handling and general administrative procedures.
