People Operations Coordinator at Foundation for Individual Rights and Expression in Philadelphia, PA

• This position will be based in Philadelphia, Pennsylvania.
• FIRE is seeking a proactive, self-motivated People Operations Coordinator to join our team! The ideal candidate is someone who is highly organized, comfortable juggling multiple tasks, and enjoys building relationships by serving as a brand ambassador for FIRE. This role is a great opportunity for someone who is eager to support a variety of FIRE’s People Operations team initiatives while helping to create a positive and engaging experience for both employees and candidates.
• The People Operations Coordinator will report directly to FIRE’s Chief People Officer and work closely with other members of FIRE’s People Operations and Administrative teams.

Responsibilities

• The duties for this position include, but are not limited to:
• Maintaining FIRE’s applicant tracking system, ensuring candidate information and job postings remain accurate and up to date.
• Coordinating interview scheduling and candidate communication to ensure a seamless and engaging interview process for full-time hires.
• Assisting with intake meetings with hiring managers as new job opportunities arise to understand hiring needs, timelines, and role requirements.
• Working closely with the Chief People Officer to create job postings and maintain an organized repository of current job descriptions.
• Supporting recruitment efforts by posting and promoting jobs across a variety of platforms, identifying new and effective channels to reach qualified candidates, proactively sourcing candidates, monitoring FIRE’s general application pipeline, and coordinating with external recruiting firms or headhunters as needed. Assisting the Student Development team with the recruitment process for semester intern candidates, as needed.
• Acting as a brand ambassador by representing FIRE at career fairs, as needed.
• Assisting the Learning and Development Manager with the coordination of onboarding sessions for new hires.
• Supporting the planning and logistics for internal training programs such as Lunch and Learns, All Hands, and Town Hall meetings.
• Assisting the Learning and Development Manager with collecting and summarizing feedback surveys and attendance tracking.
• Assisting with employee engagement initiatives, supporting the holiday party, staff retreat, and employee appreciation gifts.
• Compiling and sending out Weekly FIRE Digest.
• Maintaining FIRE’s organizational chart and staff directory.
• Helping to maintain the organization's internal website, the FIRE SharePoint.
• Creating and editing the People Ops section of the All Hands Meeting decks and other presentations, as needed.
• Submitting payment requests and processing expense reports as needed for the Chief Operating Officer and the People Operations team.
• Supporting Shopify operations by assisting with inventory management, customer service, order fulfillment, and year-end close processes.
• Assisting with FIRE's general email inbox by responding to inquiries from the public and directing them to the appropriate staff.
• Acting as a backup to the Philadelphia Office Services Manager.
• This position will also perform other support functions for the day-to-day operation of FIRE and will frequently collaborate with other staff members and departments on general duties and specialized projects.
• This position involves a minimal amount of travel. Occasional work on weekends and evenings should be expected.
• The expected start date for this position will be as soon as possible.

• One year of human resources, recruitment, or nonprofit administrative experience is preferred, not required.

Benefits

• The projected salary range for this position is $47,000-$57,000. Compensation within that range will reflect the successful candidate’s experience, skills, and qualifications. FIRE conducts periodic evaluations where employees may receive raises or bonuses for outstanding and excellent work.
