Job description
- Make an Impact Behind the Scenes at Mosaic!
- Are you an organized multi-tasker who loves bringing order to a busy day? Do you want your work to actually mean something? At Mosaic, we relentlessly pursue opportunities to empower individuals with diverse needs, helping them live meaningful, connected lives.
- We are looking for a high-energy Administrative Assistant to serve as the heart of our Denver office. In this flexible hybrid role, you’ll be the welcoming face of our team, the master of our daily logistics, and a key partner in supporting our direct care workforce.
- Flexible Hybrid Perks: Balance your time between our Denver office for key hands-on duties and your home workspace. Once your daily office responsibilities are wrapped up, you have the flexibility to work remotely!
- Diverse, Dynamic Days: No sitting at a desk doing the exact same task for eight hours straight—your day will range from fleet coordination and client documentation to greeting guests and supporting new hires.
- Mission-Driven Purpose: Your organization keeps our entire team running smoothly so we can focus on empowering the people we serve.
Responsibilities
- Welcome & Office Anchor: Greet visitors, keep supply closets stocked, handle facility work orders, handle mail/deliveries, and keep our meeting spaces ready for action.
- Onboarding & HR Support: Guide potential direct care workers through the onboarding pipeline, conduct reference checks, and process background checks.
- Fleet & Logistics Management: Keep our vehicle fleet rolling safely by tracking monthly inspections, arranging oil changes/repairs, and managing registration renewals.
- Financial & Data Administration: Process check deposits, submit agency receipts, maintain key inventory logs, manage team calendars, and secure important client documents in our digital systems.
- CLOSE DATE: Friday, September 25, 2026
Requirements
- What You Bring to the Team
- Experience & Education: Associate degree (or equivalent training) and 3+ years in an administrative support role.
- Tech-Savvy & Organized: Experience with standard office software, digital filing, and keeping track of moving parts.
- People-First Mindset: Strong written/verbal communication skills, great problem-solving ability, and complete respect for confidentiality.
- Availability: Ability to work a 40-hour Monday–Friday schedule, visit the Denver office 4–5 times a week for core tasks, and attend Thursday morning team meetings.
